Video tele-conferencing systems (VTC) are not plug-and-play solutions. The typical video conference solution involves several manufactures. No one manufacturer will take responsibility for the system. The biggest challenges in videoconferencing are less about the technology and more about the way an organization deals with the day-to-day video conference room scheduling, connectivity testing, on-going service and support, upgrades, training, network issues, and the turn-over of personnel. Many times VTC systems go unused because of an organization’s failure to manage the VTC system and its on-going requirements effectively. For many companies, the challenge is to integrate the VTC system with your work processes, and to have the system used effectively. This is easy to say, but much more difficult to achieve. A major decision for your organization is who will be responsible for the day to day operation the video conference system management and operations? Can someone in the company handle it? Can your IT staff handle it? Or is it best to outsource the majority of the responsibility? Cost conscious managers often think “we can do it ourselves”. The reality is that few companies have the people resources or expertise to provide support services for even the most basic videoconferencing system. VCI will meet with designated personnel to structure an implementation and usage plan for your company (4 hours). 2. VCI will perform pre-conference connectivity testing for “all” video conference calls for first 90 days (12 hours). (After 90 days someone trained at your company will take responsibility of conference call scheduling). 3. VCI will provide telephone back-up support to personnel (unlimited hours) for 90-day period for connectivity problems and other VTC issues (normal business hours, no weekends). 4. VCI will train personnel (1 to 6 people), on how to use the VTC system and how to schedule and operate calls (1-2 training session per month, 6-8 hours total training time). This is important to keep interest and usage up, and to accommodate any changes in personnel. 5. VCI will document your VTC system procedures, and keep backup documentation. Documentation will include photos of the conference room(s) setup and VTC equipment. These photos will be incorporated into a detailed VTC procedure manual. Electronic version of the documentation provided. 6. VCI will maintain list of all VTC equipment, accessories, and AV equipment. List will include: your VTC & AV equipment, serial numbers, maintenance renewal schedule, log of equipment failures/problems. 7. Keep record of your company’s VTC usage, report on quarterly basis usage statistics and overall performance of the video conference system, and produce Cost Justification Report.
